3 Ways To Tell When Your Business Needs a New Printer

Short of the printer breaking down and no longer working, many businesses will keep using their old printer, regardless of age or the sounds it makes. Printers, copiers and scanners are the poster child for “if it ain’t broke, don’t fix it”. 

 But there are a number of reasons to replace an old printer, even if it continues to send out documents. Not least because having the right printer will significantly improve your team’s productivity, and reduce printing costs at the same time. 

Here are three ways to tell when your business likely needs to consider investing in a new printer. 

#1 - The printer no longer meets your needs

Sure, the main purpose of a printer is to print… so long as it’s doing that it should pass this criterion. But there are significantly more factors that come into play than your business might initially expect. 

  • Does your printer have a high enough page yield? Page yield is the number of pages that can be printed with a cartridge. This number is important because it can lead to higher costs if you are printing high volumes and changing a smaller cartridge constantly. Not to mention, sending too much through a printer with a low yield in a short amount of time can fry the printer.
  • Does your printer print in colour? Some printers only do black and white or grayscale, while others can print almost any colour your heart desires. Whether or not you need colour is a big deal. If you only print black and white word documents, you have to ask the question why you are using a colour printer. It increases the cost, as you now need more ink cartridges, and chances are they are drying out before you get to use them. If, on the other hand, you are regularly printing out coloured documents, colour is a must have. Otherwise you may be spending more than you need to at the print shop or sending out lackluster marketing materials.
  • How quickly does your printer print? Modern printers print quickly, especially laser printers. This can be important if you are regularly printing out a high volume of documents. It’s also a pain when you are in a rush to get to a meeting but have to set up camp by the printer while you wait for your report to come out.
  • Do you print double sided? If you have an older printer that can’t print double sided without you manually flipping the page, you’re probably wasting a lot of paper and/or spending more time than necessary trying to remember which way you need to put the paper in.

These are just some of the many ways that your printer could be failing you – even if it is still printing.

#2 - Your printer’s performance is unsatisfactory

If you are constantly banging your head against the wall trying to get the printer to work, it may be time for a new printer. Afterall, you have better things to be doing than trying to fix the printer for the umpteenth time this week.

And they can usually do this and more, while taking up considerably less space.

You also benefit from the fact that newer printers are less likely to have obsolete cartridges, as well as parts in case a repair is needed. And they have drivers available for the latest devices and systems, which means you can upgrade your computers without fear of not being able to connect to the printer.
