How to Find the Best Label Printer for Your Small Business

Label printers are versatile machines that print on self-adhesive materials. Entry level label makers print text and icons on label tap ranging from 3.5 mm to 36 mm. But more advanced label makers can print on larger materials as well as those that are not self-adhesive, such as cardstock.

However, if you are printing labels for shipping, you may want to consider an upgraded label printer with more size and material options.

There are several different types of label printers. The technology used will affect the price, speed, and print quality of your labels. There are three major types of label printers: 

Inkjet printer – Inkjet label printers work by spraying ink droplets onto your print material. These machines are generally cheaper but have lots of moving parts that need to be replaced regularly. Inkjets also produce sharper images than other printers. 

Laser printer – Laser printers use heat and pressure to apply toner to your print material. They are much faster than inkjet printers, but images are not as clean. 

Thermal printer – Thermal printers use heat to produce text and graphics. They are generally more expensive than inkjets and laser printers, but they produce labels quickly and tend to last longer, especially thermal transfer printers. Direct thermal printers are also quick and are low maintenance, but their labels don’t last as long. 

  1. How many labels are you printing? 

As you read, different types of label makers (inkjet, laser and thermal) have different speeds. So, when picking a label printer, you want to consider print volume. Inkjets are slower because they prioritize quality. Laser printers are the opposite, putting speed ahead of quality. If you are doing primarily text, however, laser printers will provide high-quality labels. Thermal is more expensive upfront but creates labels quickly and cleanly. 

  1. Does it need to integrate with a specific system? 

When selecting a label maker, you want to be sure it is compatible with the systems and software you will be using it with. For example, not all printers will work with your inventory management software to print barcodes or your shipping programs to print labels. Similarly, if you have multiple users or you need to print from your phone, you will want a label printer with a wireless connection. 

  1. Where will the label printer be used? 

If you are planning on taking your label printer to different sites, you want to be sure that the machine you buy can withstand travel. Similarly, if you are hoping to carry your printer with you while you work, like a warehouse worker who prints labels and barcodes as they work, you will want a completely portable option that offers easy battery swapping/recharging and wireless connectivity.
